Scheduling AI Tasks: How a Monday Briefing Replaced 2 Hours of Manual Research

Most knowledge workers start Monday the same way. They open their inbox, check a handful of news sources, scan LinkedIn, look at what competitors published last week, check whether anything important happened in their sector over the weekend, and try to piece together enough context to make good decisions for the week ahead. Two hours later, they have a rough picture and some notes they will probably not look at again.

This is not research. It is orientation. And it follows a pattern identical enough, week after week, that a well-configured AI system can do it overnight and have the result waiting when you open your laptop.

That is what the Automated Sector Research Briefing does. One of the systems I built for a consultancy client who was spending the first two hours of every Monday gathering context he already knew how to interpret, once he had it.


The Monday morning problem

The client ran a strategy consultancy operating across three industry sectors. Each week he needed to know: what moved in those sectors since Friday, what the signal-to-noise ratio looked like, whether any of it was relevant to active client projects, and what he should be prepared to discuss in calls that week.

He had developed a good personal system for this over years: a set of RSS feeds, a few newsletters, a handful of LinkedIn accounts he tracked, three or four publications he skimmed. The system worked. The problem was the time it took. Not because the reading was hard, but because the aggregation, filtering, and synthesis were all manual.

Every week he was doing the same cognitive work: visit the same sources, filter for relevance to the same sectors, identify the same categories of signal (regulatory change, market movement, competitor activity, emerging technology), and write a short summary for himself. The judgment was his. The mechanics were just mechanics.


Reactive AI versus scheduled AI

The standard way people use AI tools is reactive. Something comes up, you open a chat interface, you ask a question, you get an answer. This is useful. But it captures only the work where you already know you need help.

Scheduled AI is different. It runs on a timer, with no human trigger, and delivers output whether or not you remembered to ask for it. The value is in the delivery: you get the briefing because the system produced it, not because you made time to generate it. On a busy Monday, the difference between those two things is whether the briefing happens at all.

Scheduled AI tasks are also more consistent. A reactive AI session varies based on how you phrase your question, how much context you provide, and how much attention you have available. A scheduled task runs the same prompt against the same sources every time. The output is predictable in structure even when the content changes, which makes it faster to read.


The briefing system architecture

The system has three components: a source list, a script that pulls and processes content from those sources, and a prompt that instructs Claude to synthesise what was found into a structured briefing.

The source list is curated once and maintained over time. For this client, it covered: RSS feeds from six sector publications, the LinkedIn activity feed for twelve specific accounts (pulled via a compliant scraping layer), one regulatory body announcement page per sector, and a Google News search per sector keyword. The sources were chosen to match what the client had been reading manually.

The script runs at 6 AM every Monday. It fetches the last seven days of content from each source, extracts headlines and summaries, and passes them to the Claude API with a structured prompt. The response is formatted as a briefing document and sent to the client's email by 6:30 AM.

By the time he opens his laptop, the orientation work is done. He reads the briefing in 15 minutes, flags two or three items for follow-up, and starts the week with context instead of spending the morning building it.


Writing the briefing prompt

The prompt is where most of the design work sits. A bad briefing prompt produces a summary of everything that happened. A good briefing prompt filters, prioritises, and frames findings in relation to what the reader actually needs to do.

The system prompt for this briefing includes:

  • Sector context: A description of each of the three sectors, what the client's practice does within them, and what categories of development are typically relevant versus noise.
  • Signal taxonomy: The four types of signal the client cares about (regulatory change, market movement, competitor activity, emerging technology), with brief descriptions of what qualifies as each.
  • Relevance filter: An explicit instruction to omit anything that does not meet a minimum relevance threshold, rather than including it with a low-relevance label. Less is more in a briefing.
  • Output structure: A fixed format the client can scan quickly: one section per sector, each with a short summary paragraph followed by three to five bulleted items, each with a one-sentence implication for his practice.
  • Tone instruction: Direct. No hedging. Written as if from a well-informed colleague, not a research assistant covering all bases.

The prompt took three iterations to get right. The first version produced too much content. The second was better but missed the implication layer. The third, with the explicit signal taxonomy and the relevance filter, became the production version. It has not needed significant changes since.


Scheduling options

The mechanics of scheduling depend on your setup. There are several viable approaches at different levels of complexity:

  • Cron job on a server or VPS: The cleanest option if you have a Linux server available. A single cron entry triggers the Python script at a set time. Reliable, no third-party dependency, runs whether or not your local machine is on.
  • Windows Task Scheduler: The local equivalent for Windows machines that are left running. Simpler to set up than a server but dependent on the machine being on and connected.
  • Make.com or similar workflow platforms: Good for people who want scheduling without managing infrastructure. Set a schedule trigger, call your script or webhook, done. Slightly more fragile than a server cron but appropriate for lower-stakes tasks.
  • GitHub Actions: Underused for this type of task. A scheduled workflow can run a Python script on GitHub's infrastructure at any interval you set. Free for the usage levels a briefing system requires, and the script lives in version control where it belongs.

For the consultancy client, the system runs on a small VPS that costs less per month than a single billable hour. The server runs the script, handles any errors, and logs the output. If something fails, an error email goes to me rather than a blank briefing going to the client.


What lands in your inbox

The briefing email arrives formatted in plain HTML: readable in any email client, no attachments, no login required. Each sector gets its own section with a heading, a two to three sentence summary of the week's landscape, and a short list of specific items with their implications.

It reads like something a well-briefed colleague wrote after spending Sunday evening reviewing the week's news with the practice's context in mind. The client described it as "the assistant I always wanted but could never justify hiring."

The total reading time is 12 to 15 minutes. The previous manual process was 90 to 120 minutes. The briefing quality is comparable on most weeks and occasionally better, because the system never skips a source when it is busy, and it always applies the same relevance filter without rationalising shortcuts.


What else can be scheduled

The briefing is one instance of a general pattern: any task that (1) follows the same structure every time, (2) draws from sources that can be accessed programmatically, and (3) produces output someone needs to read rather than a decision they need to make, is a candidate for scheduling.

Other tasks that map onto this pattern:

  • Weekly competitor monitoring: what did competitors publish, announce, or change this week
  • Client account summaries: what is the current status of each active project, pulled from your project management tool
  • Pipeline digests: what proposals are outstanding, what follow-ups are overdue, what closed this week
  • Market price tracking: what changed in key input costs relevant to your estimates or pricing
  • Regulatory alert digests: what was published by relevant bodies in the last seven days

None of these require sophisticated AI. They require the right sources, a well-written prompt, and a scheduler. The AI handles the synthesis. The scheduler handles the timing. You handle the decisions.
